Vendor Coordinator

The Vendor Coordinator is responsible for managing vendor setup, compliance, and data accuracy across PMS and NetVendor systems. They oversee user access, vendor credentialing, and utility code activation, while supporting property transitions and resolving system-related issues. Additionally, they provide training, handle exception approvals, and manage tickets to ensure seamless vendor operations.


Essential Duties & Responsibilities

Vendor & System Management

  • Set up and maintain vendors in the respective PMS system, ensuring accuracy and compliance.
  • Add properties and users to NetVendor for Asset Living employees as needed.
  • Manage vendor compliance in NetVendor, assisting vendors in meeting credentialing requirements.
  • Maintain vendor data integrity in PMS database by identifying errors and removing duplicates

Compliance & Approval Oversight

  • Review and approve vendor insurance exceptions
  • Approve the removal of holds on vendor codes in PMS system to ensure seamless vendor payments.
  • Review and sign vendor exception forms to maintain consistent compliance standards.

Training & Support

  • Conduct training for onsite teams on vendor systems and processes to ensure proper system usage.
  • Act as the User Administrator for respective PMS onsite teams, managing user access and permissions across platforms.

System Reporting & Offboarding

  • Run reports and provide vendor documents to new management when properties transition out of respective PMS.
  • Review error and custom reports related to NetVendor setups to identify and resolve discrepancies.
  • Oversee property onboarding and offboarding processes to ensure smooth transitions within the system.

Utility Code Management

  • Create and activate UTIL codes in respective for new utility vendors across all properties in respective PMS.

 FreshService Support & Ticket Management:

  • Manage and resolve FreshService tickets related to credentialing, vendor codes, and Asset Living system user issues.

Travel Requirement: This position does not require travel.

Education & Experience

  • Bachelor's degree or equivalent work experience. 
  • Proven experience working with vendors or in a customer-facing role. 
  • Excellent communication and interpersonal skills. 
  • Strong problem-solving abilities and attention to detail. 
  • Ability to work collaboratively in a team environment. 
  • Proficient in using CRM software and Microsoft Office Suite.
