About the Role
We are looking for a reliable, organized, and proactive Office Coordinator at Ramp to work at our Miami Office to ensure the smooth day-to-day operations of our office. This role involves administrative support, coordination of office activities, and being the point of contact for internal and external communications. The ideal candidate thrives in a fast-paced environment and takes initiative to improve office systems and processes.
What You’ll Do
Oversee daily office operations and ensure a clean, organized, well-stocked, and fully functional work environment
Greet and assist visitors, clients, and vendors as the first point of contact
Manage incoming and outgoing correspondence, including phone calls, mail, and emails
Coordinate meetings, appointments, and conference room bookings
Maintain and order office supplies and equipment
Support HR and Finance with administrative tasks such as onboarding, time tracking, or invoice processing
Manage office calendars and assist with travel arrangements
Ensure office policies and procedures are up to date and followed
Assist with organizing company events and internal communications
Liaise with facility management, IT support, and service vendors
Positively Influence company culture and employee morale by organizing engagement activities including team events, company parties, employee celebrations, happy hours, team off sites etc.
Assist the Executive Assistant team and team leads with special projects and coordinating lunch orders/logistics for onsite VIP events, offsites and other meetings
What You Need
Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines
Excellent verbal and written communication skills; professionalism in person, by phone, and via email
Proficiency with Google Workspace or similar tools
Detail-oriented, proactive mindset with a can-do attitude and comfort taking initiative
Ability to lift/move office supplies and equipment (up to 25 lbs) and oversee basic facilities tasks
Ability to work on-site 5 days per week
Nice-to-Haves
1+ years of hospitality, administrative, or office coordination experience, preferably in a fast-paced environment
Bachelor’s degree in Business Administration, Communications, or related discipline
Bilingual proficiency in English and Spanish (Miami office focus)
Experience supporting cross-functional teams in a technology or high-growth startup environment
Experience coordinating travel arrangements and expense reconciliation
Event-planning background, including off-site logistics and catering coordination
Vendor-management skills and comfort liaising with facilities, IT, and external partners
